Enquiry operations

Should customers book straight into your calendar or enquire first?

Choose direct booking, enquiry first or a hybrid path, then test availability, preparation time and completed appointments.

The short answer

Choose direct booking, enquiry first or a hybrid path, then test availability, preparation time and completed appointments.

  • Use direct booking when the appointment scope is predictable.
  • Keep enquiry first when eligibility or preparation must be checked.
  • Measure suitable appointments and attendance, not bookings alone.

Choose the path around the customer's decision

Direct booking works best when people understand the appointment, its duration and what they need to bring. Enquiry first suits work where the scope, location, documents or staff member must be confirmed before offering a slot. A hybrid path can offer a short introductory call while routing complex jobs to an enquiry form. The useful question is whether the booking can be honoured as described, rather than whether a calendar widget looks more convenient.

Use this decision check

Compare the actual appointment types your business offers. One business can use different routes for different services.

Do not label an introductory call as a confirmed service booking if the customer still needs assessment. Make the next step and any relevant conditions clear on the page and confirmation.

  • Predictable duration, clear purpose and no prior checks: consider direct booking.
  • A quote depends on photos, site details or a technical assessment: collect the enquiry first.
  • A short call can establish fit but cannot promise a final quote: offer that clearly described call.
  • Limited specialist capacity or travel between jobs: confirm the staffing and travel rules before exposing slots.

Configure the calendar before promoting it

Google Calendar documents minimum notice, booking windows, buffer time and daily appointment limits. Microsoft Bookings also provides scheduling policies. Available features and settings depend on the product and account; verify the controls you will actually use. Test working hours, public holidays, time zone, existing busy events, buffers, cancellations and rescheduling. Check which staff calendar really blocks a slot. In Google Calendar, unaccepted or tentative events do not block appointment availability, so a diary that appears busy to a staff member may still expose time to customers.

Ask only for information needed for that stage

For a short call, name, contact details and a brief reason may be enough. For a site assessment, you may need service area and access information before confirming it. Explain why each additional field is needed and use an appropriate private upload process for sensitive documents. Make a workable alternative available when somebody cannot use the calendar. A phone number or accessible enquiry route should have an owner who knows how to confirm the appointment in the same system.

Run a worked test from invitation to attendance

Imagine a business offers a 20-minute scoping call. The owner reserves preparation time, exposes only supported hours and sends a confirmation stating that the call is not a quote or project acceptance. A test customer books, cancels, rebooks and receives the correct messages. Next, test the awkward cases: a booking just before the minimum notice boundary, another time zone, a staff absence and a calendar conflict. Fix those outcomes before sending paid traffic to the page. Use test details and mark the activity so it is not counted as a genuine enquiry.

Compare outcomes for each path

Track visits, booking starts, confirmed appointments, unsuitable appointments, cancellations, attendance and the next qualified step. For enquiry-first traffic, include the time until someone offers a suitable slot. Keep the definitions and reporting period the same when comparing routes. If direct bookings rise while suitable attended appointments fall, the route may be making it too easy to choose the wrong service. Adjust the explanation or screening step instead of declaring the calendar a success from booking count alone.

Common questions

Should every service use the same booking route?

No. A defined introductory call may be directly bookable while a complex assessment needs an enquiry and staff confirmation first.

What should we test before launch?

Test booking, cancellation, rescheduling, staff conflicts, time zones, notice periods and the actual confirmation message, including an awkward case near a booking boundary.
